stop bcc'ing yourself. write rules. ↓

One trigger. Many rules. The right email, to the right person, at the right time.

A rule engine for WooCommerce emails. Trigger on order status, customer signup, address change, subscription event. Filter by product, category, tag, user role, payment method, shipping method, order value. Send to customer, admin, vendor, or any address. Delay by minutes, hours, or days. 30+ shortcodes including [if] and [translate]. $59.99/yr or $199 once.

three things default WC emails can't do ↓

Same email to everyone, every order, no exceptions.

WooCommerce ships with 9 built-in transactional emails. They work - for sending the same template to every customer on every order. The moment you need to send different emails based on what was in the cart, who placed the order, or which payment method they used, you're back to copy/paste or building it from scratch in PHP.

problem · 1

Default WC = 9 emails, no conditions.

New orderadmin only
Processing ordercustomer
Completed ordercustomer
Cancelled orderadmin
+5 more, fixedno conditions
✕ no filter by product, category, value, payment, or anything else

The native WooCommerce email settings let you toggle each email on or off - that's it. No "send this email only when the order contains that product."

problem · 2

BCC'ing yourself is a system?

📥vendor A - every order, sorts manually
📥vendor B - every order, sorts manually
📥accounting - every order, ignores 90%
⚠ vendor A missed an order - sees their email a week later

Vendors, dropshippers, accounting - they only need their relevant orders. BCC'ing everyone on every order means everyone learns to ignore the inbox. Then the one that mattered slips through.

problem · 3

Review request 5 minutes after purchase?

t=0
order placed
t=5min
"review please?"
t=7d
delivered + tried
WC default: fire immediately vs this plugin: delay by N days

A "Please leave a review!" email sent the second the order is placed is worse than not sending one. Native WC has zero scheduling control.

six controls you'll use ↓

A rule engine for emails. Not a template editor.

Six knobs decide every email: when (trigger), if (rule filters), who (recipients), when really (delay), what (content + shortcodes), and how (HTML/plain, manual/bulk). Compose any combination into a saved custom email.

trigger · 14+ events

Fire on order, user, product, subscription events.

filter · require / exclude

Filter by product, category, payment, value.

delay · WP Cron

Schedule for the right moment.

WP Cron by default with optional Action Scheduler. Delays survive reboots, server restarts, deferred queues.

shortcodes · 30+

Personalize with order & user data.

manual · single & bulk

Or send manually, from the order page.

setup

Four steps. First rule live in 5 minutes.

i · install

Activate the plugin

Upload the .zip from Plugins → Add New, then activate.

Custom Emails for WooCommerce Active
ii · trigger

Pick when it fires

Order status (any of the 9), customer signup, address change, product publish, subscription event, or any custom WooCommerce hook. Multiple triggers per email allowed.

trigger order_completed
delay 7 days
iii · filter

Add the rule filters

Require/exclude products, categories, tags, users, user roles, order status, payment gateways, shipping methods, and order value (min/max). Filters are AND-combined.

require categorytools
order total >$100
exclude rolewholesaler
iv · write

Write the email

Rich text editor with shortcode picker. Subject, heading, body. HTML or plain text. Sender From/Reply-to. Multilingual via [translate]. Save and the next matching trigger fires it.

how we stack up

Rule engine. Not a templates editor.

Most "custom email" plugins are styling tools - drag-and-drop layouts, color pickers, image swappers. This one is a logic engine: rules, triggers, filters, delays. If you need both, pair it with any WC email designer.

when this earns its place ↓

Three stores. Three different email strategies.

vendor handoff · multi-recipient

Tool marketplace · "Vendor only gets their own orders."

Three vendors share the catalog: power tools, hand tools, accessories. Each vendor previously got BCC'd on every order, hunted through the inbox for their products, and missed about 8% of orders entirely. Three custom emails - one per vendor - filtered by category, sending only the relevant order to the relevant person.

TriggerOrder status = processing
Filterrequire category = power-tools · exclude wholesale
Recipientvendor-powertools@ · BCC admin

Missed-order rate dropped from 8% to ~0.4% over 90 days. Vendor average response time improved by 4 hours.

multilingual · WPML / TranslatePress

EU fashion · "Auto-detect language, send the right copy."

EU store ships to FR, DE, IT, ES. Previously needed one email template per locale = 9 native emails × 4 languages = 36 separate templates. Single custom email with [translate] shortcode auto-renders in the order's language via WPML or TranslatePress (added v3.6.0).

TriggerOrder status = processing
Shortcode[translate] with WPML/Polylang/TranslatePress
Result1 email definition · 4 languages auto-rendered

Email maintenance time dropped from ~4 hours/month to under 30 minutes/month. Customer complaints about "English-only emails" went to zero.

why this plugin

Built for stores where the right message matters.

Every WPFactory plugin ships with the same eight guarantees. Here's what running this one looks like in practice.

Clean code, reviewed

v3.5.0 was a security pass - output escaped, input sanitized, nonces added on every form. v3.5.2 closed a vulnerability in the [translate] shortcode output. v3.6.3 fixed a possible PHP error in the settings class. Coding standards updated every release.

Docs & specs, written

Every shortcode documented with attributes and examples. Filter hooks listed for devs (alg_wc_custom_emails_subject, alg_wc_custom_emails_content, alg_wc_custom_emails_exclude_recipients, etc). Helper function alg_wc_ce_send_email() exposed for custom PHP integrations.

Support that ships

Tom Anbinder owns this plugin and answers personally. Fast first response. Real feature requests turn into releases - Alex Nimanaj's review notes "the team responded quickly to my feature request and went above and beyond." Shannon Novak: "Tom and the wider team go above and beyond."

14-day money-back

14-day refund on yearly and lifetime, 30 days on All Access, no questions asked. If the rule engine doesn't fit your workflow, support helps; if it still doesn't fit, you walk away whole.

Bundle savings, real

All Access is $499 once for all 50+ plugins, lifetime, unlimited sites, and it includes every plugin we release later. Three lifetime licenses at $199 already cost $597, so the bundle usually wins by your third plugin.

Updates, regularly

v3.7.0 shipped Mar 2026. 23 releases since Jan 2024 - block-based checkout compat (v3.6.0), WC Subscriptions bulk-actions (v3.6.6), [translate] for WPML/Polylang/TranslatePress (v3.6.0+v3.6.5), rich text editor (v3.1.0), HPOS bulk fix (v2.3.0), Email Sender options (v2.9.9).

Plays well with others

WooCommerce Subscriptions (all status triggers + bulk-actions compat v3.6.6). Block-based checkout (v3.6.0). WPML, Polylang, TranslatePress. Action Scheduler optional alongside WP Cron. Override-friendly email templates with header/footer support.

Designed for store owners

You don't write PHP. Pick a trigger from a dropdown. Add filters by clicking. Drop shortcodes into a rich text editor. Hit save. The "Email Preview" tab (fixed in v3.6.9) shows the rendered output before any real customer gets it.

What kinds of triggers can fire a custom email?
14+ events. Every order-status change (new, processing, on-hold, completed, cancelled, refunded, failed), new customer signup, customer address changed or saved, product published or updated, subscription status changes (compatible with WooCommerce Subscriptions). Plus a "Custom triggers" option to fire on any WooCommerce action hook you specify.
Can I filter who gets the email based on the order?
Yes - that is the main differentiator. Require or exclude by product, category, tag, user, user role, order status, payment gateway, shipping method, and order value (min/max). Combine any number of filters; the email only fires when all required conditions match and no exclusions apply.
Can I send the email to people other than the customer?
Yes. Recipient options include the customer, the store admin, any custom email address, or multiple recipients separated by commas. Useful for vendor notifications, team alerts, dropshipper handoffs, accounting copies, etc.
Can I delay or schedule emails?
Yes. Delayed Email Delivery lets you schedule emails to fire X minutes, hours, or days after the trigger. Powered by WP Cron by default with optional Action Scheduler. Great for review requests 7 days after delivery, abandoned-cart follow-ups, or scheduled promotional sequences.
What shortcodes are available for personalization?
30+ built-in shortcodes including [order_details] (with optional product images, descriptions, links), [order_billing_first_name], [order_billing_email], [order_billing_phone], [order_customer_note], [order_total_items_qty], [order_user_meta], [order_user_data], [order_view_url], [order_received_url], [order_checkout_payment_url], [order_shipping_address_map_url], [order_payment_method_id], [order_downloads], [order_item_meta], [order_item_product_images], [product_func], [user_prop], [if] conditional (with find/not_find/in/not_in/case_insensitive operators), [translate] for multilingual content.
Does it support manual or bulk send?
Yes. Send one-off emails directly from the order edit page (Order actions meta box) with a couple of clicks. Bulk actions on the orders list (HPOS-compatible since v2.3.0) let you send custom emails to many orders at once. Useful for ad-hoc thank-you notes, promo blasts to recent buyers, or vendor handoffs.
Is it multilingual?
Yes. The [translate] shortcode integrates with WPML, Polylang, and TranslatePress (added in v3.6.0). Order language is auto-detected per order, and content can be rendered in the customer's preferred language without writing one email per locale.
Will it conflict with default WooCommerce emails?
No. Custom emails are additive - they fire alongside the default WC emails. You can also stop specific default emails via the "Stop emails" option (v2.7.3+) if you want a custom one to fully replace a native trigger. The plugin uses overridable email templates with header/footer support for both HTML and plain text since v2.4.0.
Is it HPOS compatible?
Yes - HPOS (High-Performance Order Storage) declared compatible since v2.2.3 (July 2023). The Pro version's bulk actions on the wc-orders admin page were HPOS-fixed in v2.3.0. Block-based checkout "New order" trigger added in v3.6.0.
Does it have a rich text editor?
Yes - since v3.1.0. The email content field is a full TinyMCE rich text editor with a shortcode selector (searchable since v3.1.2). Subject lines and email headings get inline shortcode pickers too. You can also fall back to plain text mode for HTML editing if preferred.
What is the refund policy?
14 days on the yearly and lifetime plans; 30 days on All Access. No questions asked. The yearly plan also includes an upgrade credit toward Lifetime or All Access.
Is there a free version?
Yes. The free version on WordPress.org covers creating a basic custom email, basic triggers (new order, status changes, customer signup), single-recipient, plain text or HTML content, and basic shortcodes. The Pro version unlocks: rule-based filtering by product/category/tag/user/payment/shipping/order-value, delayed delivery, custom triggers, manual + bulk send from order page, 30+ shortcodes including [if] and [translate], rich text editor, override email templates, From/Reply-to per email, [order_details] product images/links, and priority support.
Will this plugin slow down my site?
No. The plugin is lightweight and optimized for fast performance, so your store stays speedy. Delayed and scheduled sends run in the background via WP Cron (or Action Scheduler), so they don't block the checkout or admin.
Can I get support if I have questions about setting up?
Yes. The support team is ready to help with any setup questions, and there's full plugin documentation for tips and guidance. Pro licenses get priority email support.
